Withdrawing from TUJ
Exit Procedures
If you plan to withdraw from TUJ, please follow these procedures:
- Drop/withdraw from all courses:
- Students withdrawing after the current semester is finished who have not registered for the following semester may skip to Step 2.
- Students withdrawing from TUJ after the current semester ends who have registered courses for the following semester must first drop their courses through Self-Service Banner before the deadline to drop courses.
- Students withdrawing from TUJ in the middle of the semester after the drop deadline must withdraw from all their courses. This can also be processed through Self-Service Banner (withdrawing from courses means a "W" will appear on your transcript and you will have financial obligation to pay for those courses).
- Students with course registration restrictions need to visit the Academic Advising Center to process their drop/withdrawal. Students should check the Academic Calendar for the respective deadlines.
- Complete and print out the University Exit Form. Visit the departments listed on the form to receive their signature. When you have received all signatures, submit the form to the Office of Students Services and they will update your student record. Complete this process before your last day on campus. University Exit form can be found below.
- Follow the procedure for Leaving Japan described below.
- Exit Japan within 30 days: You must leave Japan within 30 days of the end of your last registered semester, or within 30 days of submitting your University Exit Form.
Failure to complete this process may result in a hold on your account or fines from the relevant departments. A hold on your account will, among other things, prevent you from receiving transcripts or other documents from the university.
Leaving TUJ without Leaving Japan
If you are no longer enrolled at TUJ but find another sponsor for your visa, you may be able to stay in Japan. OSS must regularly file reports to the Immigration Bureau regarding TUJ visa-sponsored students' enrollment status. To ensure that you are not reported as out-of-status to the Immigration Bureau, you must submit to OSS your new visa application form or a copy of your new visa within 30 days of your last class at TUJ.
Important Notes
- If you are graduating from TUJ, you may stay in Japan up to 90 days after graduation if during that time you apply for a designated activities or other kind of visa. However, if your landing permission is going to expire during this time, you must apply for the designated activities visa or other kind of visa prior to expiration.
- If you do not intend to remain in Japan long-term but would like to stay more than 30 days after school finishes, you may apply to change your status from "College Student" to "Tourist" at the Immigration Bureau.
Leaving Japan
If you are leaving Japan for good, please be sure to do the following.
Settle Utility Bills
Do not forget to settle electricity, gas, water, and other utility bills by contacting the respective companies several days before moving out. TUJ will NOT take responsibility for any unpaid bills.
Close Bank Account
Making sure all debts are paid (especially those that have been arranged for automatic deduction of utility bills from their bank accounts). When closing your account, you will need:
- alien registration card or passport,
- personal seal (inkan) (if used when opening the account), and
- passbook.
Cost-adjustment (canceling) NHI
Cost- adjustment is necessary for international students leaving Japan. When your departure date has been decided, adjust the costs of the NHI at the respective city/ward office. The NHI expiration date will be modified by the office to be valid until your departure. Be sure to bring your:
- NHI card,
- a document such as an airplane ticket showing the date of departure from Japan, and
- cash (If you have any outstanding fees).
Cancel Cell Phone
Remember to cancel your cell phone and let them know that you will be leaving the country.
Return Alien Registration Card
When exiting Japan you are no longer eligible to return on your current College Student visa, and you must return your alien registration card directly to the immigration inspector at the airport or port of departure. If you fail to return the card, there may be complications when re-entering Japan in the future.
